Booking a Punta Cana Airport Transfer for Someone Else: What to Confirm
When arranging a transfer from Punta Cana International Airport (PUJ) for someone else, provide the traveller’s name and journey details, identify yourself as the booking contact, and confirm who will receive arrival updates and who will pay.
Separate the passenger, booking contact and payer
These roles can belong to the same person, but they do not have to:
- Lead passenger: the person travelling who will identify the booking and meet the driver.
- Booking contact: the person communicating with the transfer provider and organising the arrangements.
- Payer: the person or company responsible for the agreed payment.
For example, you might arrange transport for your parents while staying at home. One parent is the lead passenger, you handle the booking, and either you or your parents pay.
Explain that arrangement at the beginning of the enquiry. Ask the provider to confirm that it can accommodate the contact and payment arrangements you need.
Whose name should appear on the pickup sign?
Give a name the travelling party will recognise. Do not automatically use your own name because you filled in the form or requested the quote.
For example, if Alex arranges a transfer for Elena, the enquiry should distinguish “Elena — lead passenger and pickup-sign name” from “Alex — booking contact, not travelling.”
Tell Elena exactly what name has been agreed for the sign.
The accommodation reservation may also use a different name. If that affects the destination or access arrangements, explain the difference rather than changing the passenger’s name without telling anyone.
Send the traveller’s actual journey details
Prepare the information for the people taking the ride:
- Lead passenger’s full name and agreed pickup-sign name.
- Flight arriving at PUJ, including airline and flight number.
- PUJ arrival date and scheduled local arrival time.
- Full hotel name or complete villa destination.
- Passenger and luggage counts.
- Any requested child seats, accessibility arrangements or unusual equipment.
- Traveller’s contact details, with their permission.
If the journey includes a connection, use the flight that arrives at PUJ. The flight-number guide explains which itinerary segment to provide.
You do not need to duplicate the whole airline reservation in a transfer enquiry.
Agree who receives arrival-day updates
This is the most important conversation when you are booking remotely.
If you provide your own number, explain that it belongs to the organiser. Give the traveller’s number separately and ask which contact dispatch will use for pickup updates.
If a form has only one phone field, clarify the two roles in the notes or accompanying message. Do not assume that adding a second number automatically changes the main contact.
Include the country code and check which number the traveller actually uses for WhatsApp.
Ask whether both contacts can receive updates, or whether the provider needs one lead contact. A group chat should be an agreed arrangement, not an assumption.
If the traveller may be offline
Agree on a fallback before departure. The traveller should have a readable copy of the confirmation available without an internet connection, including the meeting instructions and provider’s contact details.
A remote organiser can help communicate, but cannot reliably describe the traveller’s location without hearing from them.
Review the phone, eSIM and Wi-Fi guide together. Confirm what the traveller should do if their phone cannot connect rather than leaving that decision until arrival.
Confirm payment before the traveller flies
Make the payment responsibility explicit.
If you intend to pay, ask which payment arrangement the provider accepts and how it will confirm receipt. Do not assume that a booking made in your name means the fare has already been paid.
If the traveller will pay, forward the agreed total, currency and payment instructions. They should know what is expected before meeting the car.
For company travel, request any required invoice details when arranging the booking. Whether a particular payer, payment method or billing arrangement is accepted needs confirmation.
The transfer payment guide provides the existing payment information; the written booking confirmation should settle the arrangement for this journey.
Verify unexpected changes to payment instructions through the contact you originally used for the booking.
Forward a confirmation the traveller can actually use
Send one compact summary rather than a long conversation containing several provisional quotes.
It should show:
- Passenger and pickup-sign name.
- Flight, arrival date and local arrival time.
- Full accommodation name and destination.
- Confirmed passenger, luggage and vehicle arrangements.
- Meeting instructions and provider’s contact details.
- Agreed price and payment responsibility.
- Who receives updates and what to do if contact fails.
Ask the traveller to read it before flying. That gives them a chance to spot an incorrect hotel, an old phone number or a name they would not expect to see on a sign.
Include the guide to finding your driver as practical preparation, alongside the meeting instructions supplied for their booking.
A message you can adapt
I am arranging a PUJ airport transfer for [lead passenger’s full name], and I will not be travelling.
The pickup-sign name should be [name]. The flight arriving at PUJ is [airline and flight number] on [date] at [local arrival time]. The transfer destination is [full accommodation name].
There are [passengers] with [luggage and any special requirements].
I am the booking contact at [number]. The traveller’s contact is [number, shared with permission]. Please confirm who will receive arrival updates.
[Person or company] intends to pay. Please confirm the accepted payment arrangement, total price and pickup instructions.
Keep changes in one confirmed record
If the flight, passenger count, accommodation or contact number changes, update the transfer provider and the traveller.
Avoid having one person change the hotel while another continues forwarding an older confirmation. Ask dispatch to acknowledge the revised arrangements, then replace the traveller’s saved summary.
For a return transfer, confirm the traveller’s current hotel and the separately agreed pickup date and time. The organiser may still be at home, so decide who will answer questions on departure day as well.
Share the information needed for pickup
Ask the traveller before sharing their contact details and itinerary.
Keep passport numbers, full payment-card details and unrelated airline booking information out of routine transfer notes. If you share an itinerary image, retain the relevant flight details and hide information that is not needed to arrange the journey.
The goal is a usable pickup record, not a copy of every travel document.
Make sure the handover is complete
Before finishing, check three things: the provider knows who is travelling, the traveller knows how to meet the driver, and everyone understands the payment arrangement.
If you are arranging the ride with PUJ Airport Transfer, contact the dispatch team and explain from the start that you are booking for someone else. Ask for written confirmation of the passenger, contact and payment arrangements, then make sure that confirmation reaches the person taking the transfer.
